What to Send with a Custom Bamboo Furniture Quote Request

Build a furniture quote brief that separates fixed requirements from open decisions, with a copyable checklist for drawings, quantities, finish and delivery.

A reference photograph can start a furniture discussion. It cannot tell the supplier whether the cabinet must arrive assembled, whether its back will be visible, or whether the price should include delivery to a warehouse or to individual rooms. Those unanswered questions become assumptions in the quotation.

A useful brief makes the fixed parts of the project obvious and leaves the undecided parts visibly open. You do not need a finished technical drawing to make that distinction.

Give each furniture item a name that survives the project

Use a short item code alongside the description: for example, GR-04, guestroom sideboard. This is an illustrative code, not a catalog model. Use it on the room schedule, reference images, drawings and quotation. If the designer calls it a credenza and the purchasing team calls it a cabinet, the code still connects the documents.

Put different constructions on different lines. A narrow cabinet and a wider version should not share one quantity simply because they look alike. State the quantity of each version and identify any allowance for spares separately.

This prevents a reference image from becoming an accidental specification. If only the proportions matter, say so. If a curved front, visible edge or particular handle is essential, mark that feature on the image.

Send the dimensions that control the design

Include overall width, depth and height where they are known, with units. Then identify the dimensions that affect other objects: the appliance opening inside a cabinet, clearance below a table, or the space needed for a door to open. A room plan can explain these relationships more effectively than several disconnected measurements.

Label site measurements as verified or provisional. Ask the supplier to flag conflicts before developing a production drawing. A provisional wall dimension should not quietly turn into a manufacturing instruction.

Describe the journey after production

State the destination country, delivery point, unloading arrangements and assembly location. If the furniture will be stored before installation, include that stage. A delivery date should identify the event it refers to: shipment departure, warehouse arrival or readiness for use.

Ask for the commercial delivery basis to be stated explicitly. The ICC overview of Incoterms® rules explains that these rules allocate transport-related obligations, costs and risks. A destination name on its own is not a complete description of the quoted scope.

A checklist you can paste into the enquiry

  • Item code, description and reference image.
  • Quantity by version, with spare quantities identified.
  • Required dimensions, units and site constraints.
  • Features that must stay and features open to development.
  • Material and finish direction, with physical references if available.
  • Intended use and any project requirements for testing or documentation.
  • Preferred assembly and packing format, or a request for options.
  • Destination, delivery point and the date that matters.
  • One contact responsible for resolving conflicting instructions.
