Furniture purchasing, in practice

Furniture Receiving: A Carton Count Is Not a Complete-Item Count

Reconcile furniture cartons with complete item sets at receiving. Keep package condition, missing components and readiness for installation in separate records.

The receiving team signs for the expected number of cartons. The installer then finds that a top and a base belong to different versions, or that the matching fixing pack has not reached the same room. The two teams were counting different things.

Package receipt and furniture-set reconciliation should be separate steps. This does not change the delivery contract; it gives the site a clearer record of what is available for installation.

Obtain the item-to-package map before arrival

The Round Pedestal Dining Table is a useful reference for this discussion, but its final packing format must first be confirmed. If an approved version arrives in separate packages, the packing list needs to connect each package to the correct furniture item and version.

Keep serial or set identification where supplied. A description such as tabletop may not distinguish two approved sizes. Request the actual package map, rather than inventing carton numbers from a catalog image.

Record receipt without calling the item installed

An illustrative table order has a top package, a base package and a fixing kit associated with one item. Receiving the top alone is not receiving a complete table. Receiving all three is still not approval of their condition, assembly or performance.

Use distinct states: packages received, set reconciled, condition reviewed, and installation released under the agreed procedure. Preserve unresolved items instead of changing every row to complete when a delivery vehicle leaves.

Use a reconciliation sheet for split deliveries

These are worksheet examples, not a promised packing configuration or ordering quantity. Keep the original labels identifiable when cartons are moved from receiving to rooms. An incomplete set should remain traceable rather than borrowing unconfirmed parts from a visually similar item.

Route exceptions to the right decision

Record an overall package view, its identity and the specific discrepancy under the agreed inspection process. Keep missing parts, visible damage and a revision mismatch separate. Do not assemble with substitute hardware or alter a component to make the count appear complete.

The packaging brief defines the map and labels; the receiving sheet records what actually arrived. Agree reporting times and commercial responsibility with the relevant parties rather than deriving them from this worksheet.

Discuss furniture receiving information with the item schedule, proposed delivery groups and installation responsibilities. Confirm the document and labeling scope alongside the furniture order.
