A sample quotation can be easy to approve and difficult to interpret later. The buyer expects a complete chair ready for review; the supplier has priced a material panel and one construction detail. Both may have used the word sample, but they have not agreed the same deliverable.

Name the physical result being purchased
Identify whether the proposal is for a finish panel, an upholstered component, a complete furniture item or an assembled setting. Describe the questions it is meant to answer. A panel can support a surface decision without demonstrating the operation or proportions of the finished furniture.
For the Bamboo 3-Seater Lounge Sofa, the published sample route follows confirmation of the specification, finish direction, quantity and related sampling costs. That does not establish a free sample, a standard fee or unlimited revisions.
Make excluded work visible before the first approval
Ask which drawings, materials, assembly, review evidence and delivery arrangements are included in the quoted sampling work. If a proposed sample differs from the intended order, have those differences identified in advance. Otherwise a buyer may pay for an object that cannot answer the question the team needs to close.
| Decision | Question to close | Written reference |
|---|---|---|
| Physical deliverable | Panel, component, full item or complete setting? | Named item and scope |
| Represented specification | Which materials and version will be used? | Drawing and material references |
| Review rounds | Which changes or repeat samples are included? | Defined included work and approval process |
| Packing and movement | Who receives it and what delivery is included? | Destination and quoted responsibilities |
| Later order treatment | Is any sample charge credited, and under what agreed conditions? | Explicit written offer, or no credit assumed |
Distinguish a comment from permission to incur more work
After review, one comment may ask for a corrected drawing; another may require a new component or another full item. Ask for the proposed response and any change in cost or timing before authorizing that work. Do not presume that every comment automatically creates another included sample.
Equally, the buyer should not have to infer a new charge from an unexpected invoice. Keep the request, the proposed additional work and the acceptance together. This is a practical clarification method; the parties’ agreed terms determine what is chargeable.
Close sampling scope and production approval separately
The sample approval guide records whether the reviewed features are accepted. Acceptance of a sample invoice or delivery does not itself authorize volume production. Record that next decision explicitly against the selected specification.
If evaluating the conversation set, ask whether the proposed sample represents one chair, the table or the complete setting. For a furniture sampling enquiry, identify the product, the questions to resolve, intended order quantities and sample destination. Request a defined sampling proposal rather than assuming that the word sample carries a standard package.
