A reseller can receive a folder of beautiful furniture images and still lack what is needed to publish an accurate product listing. The missing pieces are often the version behind each image, which facts are approved and what use of the files has been permitted.

Make one record for the sellable configuration
For the round table with turntable, a listing must distinguish the selected table diameter from the unconfirmed turntable diameter and inclusion. Combining all options into one size field can misrepresent what the shopper is ordering.
For the upholstered dining chair, overall dimensions and seat dimensions belong in different fields. Fabric composition is not established by calling the surface ivory woven upholstery. Keep unconfirmed details marked internally rather than filling a public field with a guess.
Join approved text to the correct images
Create a small release sheet that names the intended listing and the approved files. The purpose is to prevent a correct description being paired with an image of another size, finish or optional accessory.
| Record | Information to provide |
|---|---|
| Product version | Supplier reference and the exact sellable configuration |
| Approved facts | Material description, complete dimensions and included scope |
| Image map | Filename, depicted version, view and visualization status |
| Permissions | Permitted channels, territories and edits as agreed |
| Updates | Release date, responsible contact and replacement instructions |
Product images on these reference pages are identified as visualizations. Preserve that distinction where it affects what the image represents; do not recast a styled visualization as a completed customer installation.
Agree permissions before distributing the asset pack
GS1’s product-image sharing guidance distinguishes receiving an image from owning it and recognizes restrictions on reuse and editing. Obtain permission for the actual proposed use; a publicly accessible image address does not by itself establish that permission.
Specify whether the reseller needs marketplace listings, its own website, print or paid advertising. Ask separately about cropping, adding text or changing backgrounds. Do not remove product qualifications or turn a design image into evidence of a property it never showed.
Withdraw superseded information as a complete update
When a specification changes, identify affected listing fields and images together. Send a replacement pack and ask the reseller to confirm the change. Keeping an outdated image beside corrected text can leave the same misunderstanding in place.
Use the rendering interpretation guide for image limitations. A reseller information request should name the product versions, publication channels and required assets. This article does not grant image rights or establish a reseller appointment.
