A reception can stay open during refurbishment only if the operating plan works while the new furniture is being installed. A completion date does not say which part of the room customers may use at ten in the morning, or who decides it can reopen.

Define the unavailable area with the operator
Mark the work area and the places needed for unloading within the zone, assembly and temporary materials. Have the responsible site team establish the appropriate separation from staff and visitors. A finished-looking desk or a loose screen is not evidence that the work boundary is suitable.
The UK HSE’s public-protection guidance identifies boundaries, access and exclusion of unauthorised people as planning inputs. Use that as a reminder to involve the site team; this furniture checklist does not set the safety arrangements or local compliance requirements.
Keep the service promise realistic
Ask the operator which services must continue, where visitors will be received and what happens if the planned area is unavailable for longer. Identify any temporary furniture separately. Do not list the same reception desk as both the installation item and the working check-in position.
A bamboo reception desk combines a visitor-facing counter with a lower staff work area. Its full working arrangement must be available before it can take over from the temporary position. A completed front panel alone does not make it operational.
| Phase decision | Record | Person or role to name |
|---|---|---|
| Area becomes unavailable | Boundary and temporary service location | Site lead and operator |
| Installation can start | Access and site readiness confirmation | Responsible site coordinator |
| Area can reopen | Agreed checks and release record | Authorised release person |
| Release is delayed | Fallback service plan | Operating manager |
Agree what allows the boundary to move
For each phase, name the person authorised to release the area and the checks that person needs from the responsible parties. Typical project decisions include completion of furniture assembly, removal of packaging and tools, confirmation of relevant site checks and an operator walkthrough. Add specialist checks where the actual work requires them.
Do not let staff reopen a zone simply because installers have left for lunch. Keep partially assembled furniture unavailable until the responsible site process permits use. This is an occupancy decision, separate from recording a cosmetic item for later attention.
Price the work window as part of the enquiry
Send a phase plan with the unavailable zone, temporary service position, working hours and release conditions. Ask the supplier to identify assumptions about installation visits and site access rather than inferring that a short delivery slot covers all on-site work.
Use the installation-deadline guide to connect the phases to the broader order timeline, then submit a phased reception furniture enquiry. If reopening is delayed, the operator needs a defined fallback service arrangement, not a furniture promise made from the product photograph.
