A close-up of a chipped edge shows the chip. It does not identify the table, its package or what the receiver saw at arrival. A useful arrival-damage record connects those facts before cartons are cleared away and several deliveries become mixed.

Give each observation a traceable reference
Record the order line, product version, package identity, delivery reference and time the issue was noticed. For the round dining table with turntable, distinguish damage to the top, rotating component or pedestal rather than reporting one undifferentiated “table damage” item.
Keep an observation separate from its cause. A broken component is observable; whether damage happened in manufacture, transit or handling needs evidence. Do not assign responsibility from the photograph alone.
Photograph the connection, not only the defect
UPS’s supporting-document guidance asks for views connecting the damaged goods, inner packing, shipping label and outside package, and also requests box dimensions. Check the actual carrier’s requirements for your shipment; this is an evidence example, not a universal claims procedure.
| View | What it should establish |
|---|---|
| Whole item | Which model, size and component are affected |
| Close-up | Visible damage, with a suitable scale where useful |
| Packing relationship | Where the component sat and surrounding protection |
| Outer package and label | Which package carried the item |
| Delivery record | When and where the observation was recorded |
Use filenames or a short index that connect these images. Several unrelated photographs named damage1 make review slower, especially when similar items were delivered together.
Keep the affected goods available for review
Preserve packaging and the affected item while seeking the shipper’s instructions. A carrier may require an inspection. Avoid repairing, disposing of or shipping the item back before the relevant parties agree the next step, unless immediate safety requires isolation or other protective action.
Do not use a suspect structural component while waiting for a commercial decision. Ask the responsible specialist what handling is appropriate; a photograph cannot establish that furniture remains safe to use.
Agree the remedy separately from the evidence
Confirm who opens the case, applicable reporting times and what documents they need. This guide supplies no universal deadline, refund promise or allocation of liability. Link the record to the receiving reconciliation so missing parts and damaged parts remain different issues. For product support, provide the order reference and indexed evidence, not a request to replace an unidentified part.
